May 2008 Meeting Minutes

Rockford Road Runners
Minutes  - May 7, 2008
Stockholm Inn

I.  The meeting was called to order at 7:03 p.m. by President Larry Ward.

II. Minutes – The April meeting minutes were approved as printed in the newsletter and presented on the club web site.
 
III. Treasurer’s Report – Glenn Greenberg reported a balance of $10,530.36 as of March 31. A detailed treasurer’s report is available for members interested in reviewing it. 
           
IV. President’s Remarks – Larry Ward offered his time period to Larry Swanson.

V.  Vice-President 
A. Larry Swanson attended the Road Runners Club of American convention in Cincinnati.  He recommends that someone from the club attend each year if it is fiscally possible.  Next year’s convention is in San Francisco.
B.  Convention topics included not-for-profit status and the newest in timing equipment.  As a result, two RRR committees were formed to review information on these topics.  The Not-For-Profit committee includes Glenn Greenburg, Larry Swanson and Mike Mapes, chair.  The Timing Equipment committee includes Tanya Thayer, as chair, Larry Swanson and Jim Dunkel.  Others interested in this committee are invited to participate.
C.  Larry discussed emailing the newsletter.  Currently, printing and mailing the newsletter costs $1 per member.  Some clubs offer a discounted membership fee for those who elect to receive the newsletter electronically.  This matter will be pursued by the executive committee. 
D.  It was noted that some race directors are still questioning how to get their race forms in the newsletter.  Steve Korn said that information is in the circuit instructions but he will email race directors again noting the proper procedure.  It was also noted that the race form should be sent electronically to the newsletter editor/web master.
E.  Larry noted that a nice benefit of RRR membership might be to provide a free race (no medals, shirts, etc.) as part of one of our regular events or meetings.
F.  A question was asked about RRR clothing.  This project was presented previously but so far there is no volunteer to handle it. 

VI. Race Coordinator
A.  Steve Korn noted that April races went well.  Upcoming events include the Literacy Half Marathon on May 10; Rockford Marathon on May 18; and Start of Summer, May 24.  It was noted that the Start of Summer event includes a family picnic and festival.
B.  Steve said that the Kerry Classic registration form notes that awards will be given to 10-year age groups. This is against RRR circuit rules.  That race may be dropped from the circuit.
C.  Steve invited all to attend the pasta dinner Saturday evening, May 17, at Cliffbreakers.  This is part of Marathon activities.  Dinner cost is $14.95 and proceeds benefit the Community Foundation.

VII. Communications Chair – no report

VIII:  Membership
            A.  Kathleen Yarger is pursing setting up the RRR account on active.com for new and renewal memberships. 
            B.  Membership brochure is pending.

IX. Staff Positions
            A.  Equipment Manager – speaking for Steve Jaycox, Bob Sharp noted that one of the four time machines is disabled.  Repairing or updating it will be part of the Timing Equipment committee discussion.
            B.  Web Master – Brian Fruechtenicht said there were 100,000 hits on the RRR web site in April.
 
X. Old Business
            A.  Henry Gallenz reported that a site needs to be chosen for the 40th Anniversary celebration.  Sites being considered are Anderson Gardens, Cliffbreakers and Giovanni’s. The committee will meet soon to finalize a site and date.
            B.  Tonya Thayer discussed issues arising from the scoring service being provided to circuit races. Currently Connie Marsh and Audrey Salberg are trained to provide the service. Another volunteer who is computer-savvy is needed. There is a five-page manual that was designed to assist the scorers.  Tonya noted that four races still need scoring services.  She noted that time and money (gas prices for anyone who must travel to an out of Rockford race) are issues and are a lot to expect from a volunteer.  It was discussed that part of the scoring fee be reimbursed to the volunteers.  It also was noted that races of under 100 participants should go to manual scoring.  The issue of reimbursement for scorers will be further discussed by the executive committee with a recommendation to be presented at the June meeting.

XI. New Business
            A.  Ed Clucas said that in light of increasing expenses, perhaps the membership fee should be increased.  This issue also will be discussed further with a recommendation at a future meeting.

XII. Announcements
            A.  Tonya Thayer read the 2008 Arny Johnson Run Fun Facts.
            B.  The June meeting will be held in the Cafe at Rock Cut State Park on Wednesday, June 4.

XIII. Adjournment – meeting was adjourned at 8:04 p.m.
