August 2008 Meeting Minutes

Rockford Road Runners
Minutes  - August 6, 2008
Lions Club Shelter -  Rock Cut State Park

I.  The meeting was called to order at 7:15 p.m. by President Larry Ward.

II. Minutes – The July meeting minutes were approved as printed in the newsletter and presented on the club web site.
 
III. Treasurer’s Report – No report.
           
IV. President’s Remarks
            A.  Larry Ward noted that it appears that funds have increased in the Rockford Road Runners Bank account that could be used to replace needed equipment. Bob Sharp said the current overhead time clock is 15 years old and is often in need of repair.  Currently a new battery-pack is being built which will nurse the clock along for awhile.  Cost of a new clock is around $2000-$2500.  Ed Clucas moved with a second by Bob Sharp that the club purchase a new time clock.  The motion passed.
B.  Larry said he felt chip timing might be a good purchase for the club.  He and several club members viewed a chip system in Peoria recently.  Lengthy discussion ensued about the price of the system, if chips would be purchased by club members, the continued need for volunteers to work even with a chip timing system.  Consensus was to continue to review and further study chip timing.
C.  Larry announced that Brian Fruechtenicht has moved out of Rockford.  Larry thanked Brian for the work he has done on the club web site.

V.  Vice-President  - No Report.

VI. Race Coordinator
A.  Steve Korn noted that July races went well.  The Severson Dells race will need a new race director in 2009 as Stephanie Baliga has other commitments.
B. Upcoming races include the State Street Mile on Saturday, August 9, and the On The Waterfront Race on Saturday, August 30.
C.  Norm Yarger reported that the Fall Trail Run will be held Saturday, September 20, while the Hobo Run Series will be Saturday, September 27 and Sunday, September 28.

VII. Communications Chair
            A.  In Tim Sievers’ absence, Norm Yarger noted that the newsletter is excellent but can always use more articles.  He also praised Tim for the great job he is doing on the newsletter.

VIII:  Membership- No report.
             
IX. Staff Positions
            A.  Equipment Manager – no report.
            B.  Web Master – Stacy Krueger will be taking over web duties.
 
X. Old Business
            A.  Larry Ward asked Gerrie Gustafson to present information on a dues increase which was discussed and approved by the executive committee.  Gerrie said the board discussed raising individual membership from $15 to $25 and family membership to $30.  However, a $5 discount will be given to those electing to receive the newsletter electronically rather than by mail. After discussion, Ed Clucas moved and Jared Zammuto seconded a motion to increase dues.  It was passed.
            B. Gerrie also presented information discussed at the executive committee about paying those volunteers who score races because of the time and inconvenience affecting them.  The suggestion was that they be paid 25 cents per racer and that this fee be retroactive to the beginning of circuit races this year.  Steve Korn moved and Jim Dunkel seconded a motion to pay scorers as suggested. 
            C.  Henry Gallenz said plans are continuing for the 40th anniversary of the Rockford Road Runners.  The event will be held Saturday, September 27, in the Parkview Room at Cliffbreakers.  Invitations will be going out in the next week. Those attending will be given a memento of the anniversary.  There is seating for 150 people and Henry encouraged reservations.  He also asked members present to encourage attendance at the event.      

XI. New Business
            A.  Phil Best has arranged for a bus to take participants to the Chicago Marathon.  The bus cost is $775 but charge per runner has not been decided yet.
            B.  Phil also asked members’ opinions about sweatshirts for the Turkey Trot.  After discussion, it was decided that no sweatshirts would be provided this year.

XII. The next meeting will be held Wednesday, September 3, at the Lone Rock Café.

XIII. Adjournment – meeting was adjourned at 7:55 p.m.
